Main methods of HubSpot Integrations
1. HubSpot Marketplace - The simplest choice
HubSpot Marketplace contains nearly 1,700 apps that can be easily integrated into your system. This option is ideal for users who want to connect their CRM with commonly used tools without the need for programming.
Advantages:
- Integration in a few clicks
- A huge number of apps in the HubSpot Marketplace that can be easily integrated. This is a big competitive advantage of HubSpot.
- Direct integration with external systems
What to look out for:
- Each application has its own HubSpot and external system version requirements (e.g. LinkedIn may require a higher license level
- Direction of data flow - whether it is one-way or two-way synchronization
- Extent of integration functionality
The Marketplace contains thousands of platforms, but it is often the case that these integrations are not enough for companies.

2. iPaaS (Integration Platform as a Service)
If HubSpot Marketplace integration isn't enough, iPaaS platforms are next. These allow you to connect systems using automation tools like Zapier, Make (formerly Integromat) or other similar services.
Advantages:
- You don't need a programmer to create an integration
- Possibility to connect different systems as required
- Easy configuration and extensive documentation
- Free versions of the integration system are often available
Disadvantages:
- Need to use another system besides HubSpot
- Limited functionality compared to a custom API solution
- Cost of operation (especially for larger data volumes)
At Autoarti, we most often work with Zapier, which is one of the most widely used platforms of its kind. The system can listen to events in one tool and automatically write them to another.
3. Workflows in HubSpot
For companies looking for deeper connectivity without the need for an external tool, HubSpot offers its own automation tool - Workflows. This tool allows you to set up business process logic and automate data transfer between different parts of HubSpot.
Advantages:
- Integrated directly in HubSpot
- Does not require external services
- Easy setup via user interface
- Available in almost all HubSpot Hubs
If you license the Professional version of Operations Hub, Workflows will allow you to call webhooks. Most systems have standardized REST APIs so you can call the URL of a webhook and link data without a programmer. Webhooks are ideal for basic data transfer, but more complex operations already require additional customization.
4. Custom Code
If simple webhooks are not enough and more complex logic is needed (e.g. loading and processing more data), Custom Code can be used. This option opens up a wider scope, where you can process the data according to your own needs. Operations Hub Professional is required for this type of integration.
Advantages:
- Everything runs directly in HubSpot
- No need to manage external servers
- Possibility of complex work with data
Disadvantages:
- Requires a programmer
- Higher time and money requirements
5. Private apps
The most comprehensive solution are Private applications. They work similarly to triggers in Workflows, but allow full control over API and data operations. This solution requires an authentication and token solution, but in return opens up unlimited connectivity options. This means that if you don't just want to swap data from one system to another, but also want to aggregate or condition it or otherwise work with it further, you can achieve advanced results with a private app that automates your business processes the way you want.
Advantages:
- Full control over integration
- Possibility to connect to almost any external system
- No need for Operetions Hub Professional license as with Webhooks and Custom code
Disadvantages:
- Technically and time-consuming solution
- Requires experienced programmers
Which method to choose?
Every business has different needs and opportunities. If you need quick and easy connectivity, start with HubSpot Marketplace. If the marketplace isn't enough but you don't want to invest in in-house development, consider an iPaaS like Zapier or Make. If you work primarily with HubSpot and need to automate internal processes, Workflows may be the ideal solution. More complex operations can be handled with Custom Code or Private Apps.
As a company's requirements grow, it usually goes through all these levels of integration, and if it doesn't have Operations Hub Professional, it jumps straight from external integration applications to Private Applications.
Time requirement for integrations:
- HubSpot Marketplace - instant installation
- iPaaS - 1-3 days
- Webhooks - 5-10 days
- Custom Code and Private Apps - up to tens of hours of implementation
At Autoarti, we help companies set up customized integrations. We select the right solution for their specific needs and with our team of programmers we create private applications and custom code. If you are looking for a solution to integrate your systems with HubSpot then don't hesitate to contact us. Each company should consider their needs and choose the integration method that is most worthwhile.
